Administrative Travel Officer

About the role

Reporting to the Operations Administrative Manager, the Administrative Travel Officer will serve as the central focal point for travel and visa coordination for IRC Ukraine. The role provides end‑to‑end support to national and international staff, covering visa and immigration assistance, travel arrangements, accommodation, ground transportation, financial follow‑up and traveller support.

Key responsibilities

• Coordinate full‑cycle Ukrainian visa support for international staff, including consular appointments and documentation.
• Arrange international flights, accommodation and complex cross‑border travel routes in line with IRC procedures.
• Manage travel‑related invoices, documentation and payment follow‑up with Finance and service providers.
• Provide travellers with itineraries, visa documents, security briefings and timely assistance during disruptions.
• Offer additional administrative support to the Central Administration team during peak periods.

Required profile

• Diploma or degree in Administration, Finance, Travel Management, International Relations or a related field.
• At least 2 years of experience in travel, visa or administrative coordination, preferably in a humanitarian or development setting.

Required skills

• Proficiency in Microsoft Word, Excel, PowerPoint and Outlook.
• Fluency in Ukrainian (written and spoken).
• Fluency in English (written and spoken).
