Program Assistant, Empower Pillar (Hybrid, Full-Time)

About the role

Nova Ukraine is seeking a motivated Program Assistant to support its Empower Pillar, which spans Education, Veterans & Youth, and Culture initiatives. Working closely with the Vice President and Project Managers, you will help ensure smooth coordination and professional delivery of programs that strengthen civil society in Ukraine.

Key responsibilities

• Assist grant administration by gathering documentation and tracking workflows in Salesforce.
• Coordinate logistics for virtual and in‑person meetings, workshops, and partner visits.
• Manage meeting agendas, take notes, and follow up on action items.
• Support procurement, operational processes, and official travel arrangements.
• Help onboard new team members in partnership with HR.
• Prepare and maintain program records, reports, presentations, and basic research for planning.
• Provide day‑to‑day project coordination support to the VP, Program and Project Managers.

Required profile

• Experience in administrative support, project coordination, or a similar operational role.
• Strong organizational skills, attention to detail, and ability to manage multiple tasks.
• Fluency in Ukrainian and English (B1 level or higher).
• Ability to work effectively in a hybrid/remote environment.

Required skills

• Proficiency with Google Workspace (Docs, Sheets, Slides).
• Experience using Salesforce or other CRM systems.
