About the role
PATH, a global nonprofit focused on health equity, is seeking a Program Assistant to support the implementation of a new health project in Ukraine. The role will work closely with the project team and PATH Ukraine staff, providing day‑to‑day coordination, administrative, logistical and communication support.
Key responsibilities
- Coordinate and schedule routine project meetings (online and in‑person), prepare agendas, invitations, minutes and follow‑up correspondence.
- Organise logistics for trainings, workshops, conferences and site visits, including venues, catering, travel, materials and on‑site support.
- Maintain project calendars and trackers for staff travel, leave, key activities, deadlines, procurement and monitoring visits.
- Prepare, edit, format, translate and distribute reports, letters, presentations, training and communication materials, tables and graphics.
- Provide written translation and consecutive interpretation during meetings, trainings and field activities; coordinate external interpreters when needed.
- Facilitate communication among PATH teams, partners, government counterparts and service providers, maintaining contact databases.
- Manage electronic and hard‑copy project files and databases in line with organisational requirements.
- Prepare activity budgets and supporting documentation for trainings and events in coordination with program, finance and administrative staff.
- Arrange business travel and complete related administrative documentation.
- Support procurement by collecting quotations, preparing and tracking documents, coordinating tender announcements and communicating with vendors.
Required profile
- Higher education in administration, public health, social sciences, linguistics, international development or a related field.
- Experience providing administrative or program support, preferably in an international, donor‑funded public‑health or development setting.
- Excellent organisational, time‑management and communication skills with ability to handle sensitive information discreetly.
- Fluency in Ukrainian (verbal and written) and professional working proficiency in English for translation and interpretation.
- Legal authorization to work in Ukraine.
Required skills
- Proficiency in Microsoft Word, Excel, PowerPoint and Outlook.
- Familiarity with electronic collaboration and file‑management tools.
