Order Management Specialist – EU Delivery

About the role

TEKTELIC is seeking a detail‑oriented Order Management Specialist to oversee EU customer orders from quotation through final delivery. Based in Kyiv with a hybrid work setup, you will act as the bridge between customers and internal teams, ensuring accurate orders, on‑time shipments, and clear communication.

Key responsibilities

• Prepare and manage quotations, RFQs, and RFPs together with the EU sales team.
• Validate product configurations, pricing, and commercial terms.
• Enter and track customer orders and purchase orders in the ERP system.
• Respond to customer inquiries and provide regular order and delivery updates.
• Coordinate domestic and international shipments, working with freight forwarders, warehouses, and internal stakeholders.
• Verify commercial invoices, packing lists, customs, and export documentation.
• Identify and resolve issues related to orders, shipments, or documentation.
• Contribute to continuous improvement of order management and logistics processes.

Required profile

• 2+ years of experience in order management, logistics, delivery coordination, or inside‑sales support.
• Experience supporting B2B customers, preferably in European markets.
• Solid understanding of order‑to‑cash and supply‑chain processes.
• Strong communication and customer‑service skills with high attention to detail.
• Ability to juggle multiple priorities in a fast‑paced environment.
• Upper‑Intermediate English proficiency.

Required skills

• HubSpot (or similar) CRM usage.
• Microsoft Excel – intermediate to advanced level.
• ERP system operation.
• Knowledge of Incoterms and international shipping documentation.
