Integrated Facility Management (IFM) Manager

About the role

We are expanding our Facility Management department and need a motivated IFM Manager to lead integrated facility services for international corporate clients in Kyiv. You will be the primary operational contact, ensuring smooth delivery of both hard and soft FM services across multiple office locations.

Key responsibilities

• Oversee HVAC, electrical, plumbing, fire protection and other technical system subcontractors; plan preventive, predictive and corrective maintenance.
• Coordinate emergency repairs, statutory inspections and ensure compliance with technical regulations.
• Manage cleaning, reception, handyman, catering and workplace support services, monitoring quality against KPIs and SLAs.
• Select, evaluate and negotiate with subcontractors; lead tenders and monitor contract performance.
• Prepare annual operating budgets, track expenditures, analyse variances and identify cost‑optimisation opportunities.
• Ensure health, safety, environment and fire‑safety compliance; support emergency preparedness and evacuation planning.
• Optimise workplace utilisation, coordinate office moves and refurbishment projects.
• Maintain client relationships, produce monthly reports and participate in business review meetings.

Required profile

• Bachelor’s or Master’s degree in Facility Management, Business Administration or related field.
• Minimum 3 years experience in integrated facility management or a comparable administrative role.
• Advanced English communication skills.
• Strong analytical thinking, customer focus and resilience under pressure.

Required skills

• Advanced proficiency in Microsoft Excel.
• Advanced proficiency in Microsoft Word.
• Advanced proficiency in Microsoft PowerPoint or other presentation tools.
