Supply Chain and Administrative Officer

About the role

The Supply Chain and Administrative Officer is an integral member of the Supply Chain Department, supporting the effective management of warehouse, inventory, administrative and operational activities. The role involves maintaining accurate records, supporting receiving and dispatch processes, coordinating office and facility‑related administrative needs, and ensuring timely completion of documentation.

Key responsibilities

• Receive, inspect, document and dispatch materials, maintaining accurate stock and warehouse registers.
• Update inventory systems, conduct cycle counts and report discrepancies to the Supply Chain Manager.
• Consolidate office supply needs, raise purchase requests and support facility management, including maintenance and repairs.
• Liaise with suppliers, landlords and external partners to ensure compliance with IRC policies and SOPs.
• Assist program staff with loading/unloading, support pharma warehouse management and manage Contribution‑In‑Kind inventory.

Required profile

• Diploma or degree in Supply Chain Management, Logistics, Business Administration, Finance or related field.
• 1–2 years of experience in supply chain, logistics, warehouse or administrative functions, preferably in humanitarian settings.
• Fluency in Ukrainian, Russian and English (minimum B2).
• Willingness to travel to other locations as required.

Required skills

• Proficiency with Microsoft Office 365 (Word, Excel, Outlook, PowerPoint).
• Experience using inventory management systems and maintaining stock records.
