Project Assistant – Transition & Recovery Unit

About the role

The Project Assistant will support the implementation of projects and activities within IOM Ukraine’s Transition and Recovery Unit, working under the supervision of the Chief of Mission, Programme Officer and the National Reintegration and Reconciliation Officer. The role involves assisting project specialists with reporting, contracting, procurement, budgeting and logistical coordination.

Key responsibilities

• Assist project specialists in preparing internal and external reports, briefing notes, statistical tables and presentations.
• Support contracting of partners and procurement of goods and services.
• Maintain budget‑related information and liaise with finance units.
• Coordinate project logistics, including meetings, trainings, visits and events.
• Provide interpretation and written translation (English/Ukrainian) as needed.
• Participate in meetings with local authorities, UN agencies, NGOs and donors, taking notes and drafting correspondence.
• Support monitoring and evaluation activities and programme visibility.

Required profile

• High school diploma with at least four years relevant experience OR Bachelor’s degree (public administration, law, political science, international relations or related) with two years relevant experience.
• Experience working with authorities, civil society and vulnerable populations (IDPs/refugees) is advantageous.
• Field‑work experience and familiarity with community participation and cohesion.
• Knowledge of emergency and recovery response issues in Ukraine is an asset.

Required skills

• Proven written and spoken communication skills in English and Ukrainian; Russian when needed.
• Proficiency with Microsoft Office Suite – Outlook, PowerPoint, SharePoint, Excel and Teams.
